The clock starts at your stated pickup time, not when you actually walk out of the hotel or clear the terminal at Komodo Airport (LBJ). It stops when the chauffeur drops you at the final address on the itinerary. A Labuan Bajo car hire overtime charge is triggered when that span exceeds the block you booked.
In practice, three things cause it. First, boat delays — harbour departures and returns rarely run to the minute, and a 16:00 scheduled return that lands at 18:30 pushes a 12-hour day into overtime. Second, added stops: a sunset viewpoint or a second waterfall that was not on the plan. Third, traffic and roadworks on the Trans-Flores route, which can add an hour without anyone doing anything wrong.
None of these are penalties. The chauffeur is a paid professional with a legal duty to rest, and an hour of overtime is an hour he is not home. Reputable operators cap daily driving hours for safety reasons — if your day would run past roughly 14 hours behind the wheel, the honest answer is a second driver or a revised plan, not unlimited overtime. How Is Waiting Time at Attractions Counted?
Waiting time inside your agreed itinerary is free. If the plan says three hours at Wae Rebo trailhead or a full day while you are on a Komodo boat, the chauffeur waits and nothing is added — that time is already priced into the day.
Waiting becomes billable in two situations. One, the stop runs materially longer than agreed and pushes the total past your block, at which point it simply becomes overtime at the hourly rate. Two, you release the vehicle for several hours and then recall it from a distance, meaning the driver runs an unpaid return leg. Say so upfront and it is usually absorbed. Spring it on the day and it is a conversation nobody enjoys.
Why Do Pre-Dawn and Late-Night Pickups Cost More?
Labuan Bajo runs on early departures. Padar sunrise trips and the first flights out mean pickups at 04:00 or 04:30, and boats returning after dark mean drops close to midnight. A surcharge on those movements covers the driver starting or finishing outside normal hours, and reflects the genuine risk of Flores roads at night — unlit sections, livestock, motorbikes without rear lights, and heavy rain between roughly November and March.
It is a flat amount per movement, not a multiplier on your whole day. A 04:30 airport transfer carries the surcharge; the fact that your subsequent day started early does not re-price the rest of it.
What Is a One-Way Drop Fee and an Empty-Return Run?
Overland Flores is where most fee confusion happens. If you hire an SUV or a Toyota HiAce from Labuan Bajo and finish in Ende or Maumere, the vehicle is now several hundred kilometres from its base — a drive of one to two full days back, depending on the route and season. That return leg burns fuel, driver hours and accommodation, and the vehicle earns nothing while doing it.
That is the empty-return run, sometimes called a deadhead, and it is the honest reason a one-way drop costs more than the same distance driven as a round trip. Some operators show it as a single “one-way fee” and some split it out. Either is fine, as long as it appears in the quote before you commit. Ask which town the vehicle is based in — that determines the size of the return leg, and it is a fair question to put to any operator. When Is Fuel an Extra Charge?
For standard day hire around Labuan Bajo, fuel is normally included in the rate and you should not be asked for more. The exception is genuine long-distance work: the climbs to Ruteng and Bajawa, the Kelimutu run, or any itinerary that materially exceeds the daily range assumed in your quote. Mountain driving consumes far more fuel per kilometre than the flat coastal stretch, and stations thin out badly once you leave the main corridor.
Two honest ways to handle it. Either the operator quotes a higher all-in day rate that already carries the mountain fuel load, or fuel above an agreed range is settled at pump cost with receipts. Both are legitimate; a vague “fuel extra” with no range and no rate is not.
